How Does SBGA Payroll Services Work?

Enter your payroll information once at our secure website (support is also available via fax or phone). Once your account is set up, completing each payroll takes no more than a few clicks. Tax and other deductions are calculated automatically. Any deposits are automatically made for you. Employees are paid by direct deposit and receive email notifications with instructions to a password-protected website to view their pay stubs. All you have to do is keep running your business.


Do I Need Extra Software or Equipment to Use SBGA Payroll Services?

No. All you need is a web browser and an Internet connection, and you’re in business.


Do I Have to Give Up Control of My Payroll?

Absolutely not. In fact, you retain “hands-on” control of the major aspects of distributing and processing payroll, just without the hassles of executing every little detail.


Can I Run Payroll for Employees Outside of the United States?

We currently only process payroll for employees in the United States, Puerto Rico, Guam, and the Virgin Islands.


How Reliable and Secure Is SBGA Payroll Services?

Your data is protected with the same care a bank uses to protect its deposits. All data transactions are authenticated by VerisignTM – the leader in e-commerce security – and the dashboard is secured with 128-bit encryption, a secure socket layer, and Microsoft cluster redundant architecture.


What Documentation Is Needed for SBGA Payroll Services to Process My Payroll?

Federal regulation requires that we receive completed and signed documentation before we can begin processing payroll. We require the following documents: 1) Payroll Services EFT Agreement; 2) Pricing Agreement; 3) State Power of Attorney; 4) Tax Information Authorization; 5) Proof of Prior Balances (or most recent QTD/YTD reports). Additionally, we request that you provide the following information shortly after setup: 1) copies of quarterly and annual returns; 2) tax deposit coupons; 3) copies of state registrations; 4) SUI Rate Change Notice.


Does SBGA Payroll Services Handle My Taxes?

Once you enter your payroll data, we automatically calculate, deduct, pay, and file all federal, state, and local payroll associated taxes to the appropriate government accounts.


When Are Monies for Quarterly Taxes Deducted?

All funds for a current payroll, including tax liabilities, are deducted one day prior to the pay date.


Is the Tax Filing System Accurate?

Yes, in fact, it’s guaranteed accurate. Assuming you provide accurate information, we guarantee that you will never incur an IRS penalty – and if you do, our alliance partner will pay the penalty.


Will You Help Me to Track and Accrue Vacation, Sick, and Personal Days?

Yes. Within the Employee Information screen, you can adjust the rate at white each employee earns paid time off such as vacation, sick, and personal days. You can also set the maximum number of accrued days per employee.


Can I Track Employee Hours/Salaries to Different Departments?

Yes. We handle a range of job classification levels that allow you to report payroll information for different departments, divisions and/or locations so you can get a handle on labor expense allocations.


What Reports Are Available Through SBGA Payroll Services?

  • Payroll Preview Report: View entire payroll before it is processed.
  • Employee Level Paycheck Preview Report: Complete earnings, taxes and deductions by employee before payroll is processed.
  • Payroll Summary Report: Complete earnings, taxes, and deductions for each past payroll.
  • Benefits Report: Paid time off (e.g. vacation/sick/personal) each employee has earned/used for the period-to-date and year-to-date.
  • Department Summary Report: At-a-glance review of employee costs by department, division, or location.
  • Department Detailed Report: Itemized department costs broken down by employee.


Can the Pay Calendar Be Adjusted?

Yes, you can move the pay date for a particular payroll or change your entire payroll calendar. To adjust your payroll calendar, contact customer service.


Can I Process a Separate Pay Run in Addition to the Scheduled Pay Cycle?

Yes. This feature is available on the Payroll Entry screen.


Can I Submit Employee Pay Adjustments That Are Separate from Their Salary?

Yes, within our Employee Payroll Data screen you may make adjustments to pay including additional pay adjustments or one-time deductions.


Can an Employee Receive Multiple Pay Stubs or Paychecks Within the Same Pay Cycle?

Yes. This feature is available on the Payroll Entry screen.


Can SBGA Payroll Services Handle Direct Deposit and Printed Checks?

Yes, we can. You have the option of offering your employees a paperless pay stub via email or our secure website with their direct deposit, and you can print out a physical paycheck and pay stub for employees not enrolled in direct deposit.


Can Direct Deposit Go into an Employee’s Account Tomorrow if I Process Payroll Today?

Yes, however, payroll must be approved prior to 5:00 p.m. eastern time for this to work.


Will SBGA Payroll Services Print and Deliver Checks?

SBGA Payroll Services gives you the option to print out checks on the spot once payroll is run, or have employees enrolled in direct deposit all for free. In lieu of check delivery, we offer direct deposit at no additional as well as the ability for you to print as needed.


Can Paychecks Be Reprinted if Necessary? Will It Affect the Check Number Sequence?

Paychecks can be reprinted in the situation that your printer jams or a paycheck is illegible. The check number sequence is not affected in the event of a reprint because our system prompts you to re-enter the check number if there is a printing error. Just don’t forget to void or destroy the original.


Can I Integrate a Time Clock System?

Time clock integration can be completed in a few simple steps right from your dashboard. SBGA Payroll Services integrates with the most widely used time clock companies that are geared to your small business needs. If you require a time clock, take a look at whether the Clover Station can work for your business.


Can Employees Clock In and Out Through SBGA Payroll Services’ Online System?

No. You must either manually track and enter employee labor hours, or use an external time and attendance tracking system to import labor hours.


Can SBGA Payroll Services Integrate with 401(k)?

SBGA Payroll Services generates the necessary reports to deliver to 401(k) providers and allows you to program 401(k) withholdings from your employees through the online dashboard.


Can SBGA Payroll Services Integrate with Workers’ Compensation?

SBGA Payroll Services can automatically send payroll information to The Hartford or Guard insurance providers. If you have another workers’ compensation provider, you can download reports from SBGA Payroll Services to manually send the necessary payroll information to your provider. If you need workers’ compensation insurance, we can refer you to competitive pricing from The Hartford and Guard.


Can My Completed Payroll Data Be Exported into My Accounting Software?

Yes. We provide you the ability to export payroll data shown on various reports into Excel, Rich Text, or PDF format. You may also print report information in “print friendly” format for easy reference. Our Accounting Software Integration supports QuickBooks® and MYOB. Accounting Software Integration enables you to import Journal Entry files into your accounting software each pay period.
